Drop-Ins

Drop-in sessions (occasional sessions not already on a child's schedule) are available to enrolled families with up-to-date account balances only.  Drop-ins cost $2 more than the regular session fee and are billed after the fact.  Please notify your childcare supervisor/staff in advance (and the child’s classroom teacher if the drop-in is after school) when using the drop-in option.

images: wb0232.jpgFlex Schedule

Flexible scheduling is available for families whose childcare needs alternate or vary from month to month.  A minimum average of 2 sessions per week is required.  Families using the Flex Program agree to pay the $45 Registration Fee and a $150 Annual Maintenance Fee for each child, due with the application.  Both fees are non-refundable.  Families also agree to submit their child’s monthly schedule in advance.  Schedules must be submitted to the Community Education & Recreation School Age Child Care Office by the 28th of the month prior to service. Schedules may be mailed, faxed (734-994-1454) or emailed to drago@aaps.k12.mi.us. Scheduled sessions are billed at the regular rates, above.

Schedule Changes

Families who need to change their childcare schedule can do so by notifying our office in writing. (Please note that merely informing the staff at the site does not change your child's schedule or adjust billing.) Schedule changes incur a $15 fee per child. Changes must be received by Friday noon to be effective in the upcoming week.  Schedule changes may be submitted by e-mail, US mail, in person or in the office drop-box. (Forms are now available at the sites that can be submitted to staff by Wednesday PM.) Drop-in fees apply to each unscheduled session until the change goes into effect.  We also ask that families call the childcare site to communicate any increase or decrease in their child's schedule before the change is effective. Parents are responsible to notify their child's classroom teacher of changes in their child's after school schedule. (No schedule changes can be processed after May 15.)

Invoicing

A full month before care, you will receive an invoice based on the number of school days your child is scheduled for care in that month.

Payment is due at the Community Education & Recreation Child Care office by the 15th of the month preceding services. You are responsible for payment even if you don't receive your invoice.  Payments received after the 15th of the month incur a $15 late payment fee which is added to the next bill. Families may pay by cash, check, money order or credit card (Visa or Mastercard only), and payments may be called in, dropped-off or mailed. Credit cards expiring after the end of the school year can be set up for automatically recurring payments.

Child and Dependent Care Tax Credit

You may be able to claim a Child and Dependent Care Credit on your federal income tax return for the School Age Child Care and EDO program fees.  Tax statements are provided upon request.  For more information regarding the Child and Dependent Care credit, you should contact your tax advisor or see Internal Revenue Service Publication 503 “Child and Dependent Care Expenses” (available at the IRS website.)

images: wb0357.jpgFinancial Assistance

Scholarship assistance is available.  If you know you will need help paying your fees, please contact your Community Education Child Care Office right away. Families who are denied Department of Human Services (DHS) assistance can be considered for scholarships from the Child Care Network (CCN) or AAPS Community Education and Recreation.

1.    Department of Human Services (formerly FIA), 481-2000.  DHS provides scholarships for income eligible families. Families receiving DHS assistance are not eligible for Community Education and Recreation childcare scholarships. DHS families are responsible for full fees as invoiced; DHS reimbursements are applied directly into the SACC account after care takes place.  Note – DHS scholarships do not fully cover the cost of care and families should expect to pay 50% to 75% of their fees over the course of the year.

2.    Child Care Network (975-1840) CCN provides scholarships funded by the City of Ann Arbor for children through kindergarten age only.  Parents must be working or in school and live within Ann Arbor city limits.  Families must request Department of Human Services scholarships before pursuing Child Care Network assistance.

3.    AAPS Community Education and Recreation (994-2300) Rec & Ed offers limited scholarship assistance based on financial need to families denied DHS and Child Care Network assistance.  Rec & Ed scholarships do not fully cover the cost of childcare, and require a 50% or 75% monthly co-pay by the family.  To receive a Rec & Ed scholarship application please contact the Child Care office at 994-2300 or go to the Scholarship page
